Directed Energy Education Workshop
Tri-Service Bioeffects Research Facilities Tour at Brooks AFB
The Tri-Service Directed Energy Bioeffects research teams will be hosting a tour of their research facilities on the afternoon of Wednesday, 4 November 2009. Tours will be located in the Tejeda research compound located on Brooks City-Base. Bus transportation will be provided to and from the tour site, departing every 30 minutes starting at 1:00pm. Tours will include methods, facilities, and demonstrations for conducting RF, Laser and other non-lethal weapon human effectiveness research. Tours are expected to take between 1 and 1.5 hours. Sign-up is required (see registration form).

*Note: Full time students will be admitted at no charge provided they (1) are making a presentation, or (2) agree to provide services such as operating computers in the technical sessions. If these conditions are not met, students will be required to pay the full registration fee. Short courses are free for all student registrants regardless of their volunteer/presenter status.
Registration fees include participation in all Symposium sessions for which the attendee qualifies; breakfast, breaks, and lunch from Tuesday through Friday morning; receptions on Tuesday and Wednesday; and a copy of the Symposium proceedings. Registration for the Symposium also includes a complimentary DEPS membership through 31 December 2010. In addition, symposium registrants can participate in the Directed Energy Education Workshop on Friday at no additional cost.
Short course registrations included student materials, refreshments, and Continuing Education Unit (CEU) credits for successful students.
Please note that companion meal tickets, allowing guests to enjoy the catered events, is available for an additional cost. You may purchase meal tickets with your symposium registration (below) .

- Register in person at the Hyatt starting Sunday, 1 November from 1500 to 1900.
Persons requesting cancellation through 5 October will receive a full refund. Cancellations after 5 October are subject to a $100 cancellation fee. There will be no refunds after 30 October.
Most symposium events will be held at the San Antonio Convention Center (four or five blocks from the Symposium hotels), with classified sessions held at an off-site location. All breakfasts, lunches, and breaks will be served at the Convention Center; receptions at the Hyatt Hotel (Tuesday evening) and the Buckhorn Museum (Wednesday evening).
Two hotels are offering blocks of rooms at the government rate for Symposium attendees. To reserve a room contact the hotel directly and mention "DEPS" to receive the discount rate. Both hotels are within 3 blocks of the Convention Center.

The highest level of classified information to be presented at the 2009 Annual Directed Energy Symposium is SECRET/NOFORN. Attendance to the classified sessions is restricted to U.S. citizens from government, industry and academia with appropriate security clearances. Instructions for submitting classified visit requests indicating security clearance are provided below.
Please note that some sessions at the Symposium will be Limited Distribution C, which restricts participation in those sessions to U.S. citizens who are employees of the U.S. Federal Government or its contractors. Details on the attendance requirements are provided below.
A picture ID will be required at check-in and upon entry into the classified sessions. Videotaping or audio recording of any session at this meeting is prohibited. Laptops, cell phones, palm pilots, and other such electronics will not be allowed in the classified sessions. Please do not bring them to the classified meeting site. Notebooks for classified note taking will be provided for classified sessions.
Note that all visit notification actions must be completed no later than 15 October 2009.

Attendance at Limited Participation Sessions
Government employees will be admitted to the limited participation sessions upon presentation of their CAC card or other government employee photo identification. Employees of U.S. Government Contractors must either present a CAC card or submit a request for admission to limited participation sessions. The request must (1) be on company letterhead, (2) be signed by your company FSO or your immediate supervisor, (3) identify you by name as a company employee, (4) state your citizenship, (5) include your social security number, and (6) state that you have a valid need for access to the information to be presented at this meeting. Proceedings
The Annual Directed Energy Symposium will produce three sets of proceedings: unclassified public release, unclassified limited distribution, and classified. Unclassified proceedings will automatically be sent to all registrants except those who indicate they do not wish to receive them. All proceedings will be available after publication from the DEPS Online Store.
Best Paper Awards
Unclassified papers submitted for publication will be considered for one of the best paper awards, which are offered in HEL, HPM, and Student categories. The papers are judged on their technical quality, importance to the future of DE, and clarity. The awards include a plaque and a monetary award. To qualify for the student award, the student must be the primary author of the paper and the presenter of the associated presentation at the Symposium.

Call for Papers
Contributions are solicited for presentation at the Symposium from all areas relevant to the scientific understanding and application of directed energy for military and non-military purposes. The Symposium Program Committee will select contributions for inclusion in the technical program based on submitted abstracts.
This year, the Symposium will be held at the Henry B. Gonzalez Convention Center in San Antonio, Texas, home of Tri-Service Directed Energy Bioeffects research program at Brooks City-Base, Texas. Therefore, the upcoming program is being organized with a particular emphasis on bioeffects, protection, non-lethal weapons, and multi-service applications. In addition, the Program Committee will again organize several Focus Sessions on specific topics to include military utility, technical basis, past technical accomplishments and disappointments, and future technical requirements. Contributions on other topics are also sought and will be considered for presentation. Contributors are encouraged to submit papers as well as presentations.

Student Session
There will be a session composed only of student presenters. The deadline for student abstracts for the Symposium is 1 September. We can guarantee an accepted student abstract can find a home in the Student Session. Participation in the appropriate Symposium topical session cannot be promised but will depend on the availability of space in the session schedule. Earlier submissions will make it more likely that student presentations can be accommodated in the general sessions. Student abstracts must follow the same submission instructions as other Symposium abstracts, but the presenter must be identified as a student. Students should indicate in the comments whether they want to participate in the Student Session, the general Symposium technical sessions, or both.

Abstracts are no longer being accepted for the Annual Symposium.
The Program Committee will inform authors by 31 July 2009 if their contributions are selected for inclusion in the Symposium Technical Program. Instructions for submitting presentations and papers will be available then. Student presenters will be informed later than other authors.

Presentations must be received no later than 16 October 2009 and papers by 26 October 2009. Microsoft Powerpoint and Word are the preferred formats. Papers and presentations must be assigned the appropriate authorized Distribution Statement for publishing (Distribution Statement A or C) and Classified and Distribution C papers/presentations must be approved for release to U.S. Government Agencies and their contractors.
All presenters are required to submit a Presentation Release Form, due by 16 October 2009. There will be three levels of proceedings published for the Symposium: Unclassified Public Release (Distribution A), Unclassified Limited Distribution C, and Classified up to Secret. Presenters may elect to have their presentations appear in the appropriate Symposium proceedings by selecting this choice on the form.
Presenters are encouraged to submit papers based on their presentations to be published in the appropriate proceedings. Papers should follow the DEPS Conference Paper Format instructions. With author approval, papers may also be forwarded for consideration by editors of the Journal of Directed Energy, a peer-reviewed publication. The Paper Release Form must be submitted for each paper, and received no later than 26 October 2009.
